Candidate Explicit Consent Text for the Processing of Personal Data

This Explicit Consent Text has been prepared in order to obtain your explicit consent, in accordance with the Personal Data Protection Law No. 6698 (“KVKK”), regarding the processing of your personal data within the scope of examination, assessment, and testing processes carried out through the coens.io platform operated by Brotek Teknoloji A.Ş. (“COENSIO”), a company located at Esentepe Mah. Büyükdere Cad. No:175/7 Kat:B4 34360 Şişli/İSTANBUL.

As stated in the Privacy Notice on the Processing of Personal Data, if you exit full-screen mode or switch to another tab or application during the assessment process, short-term screen recordings are taken. These recordings are analyzed solely by an artificial intelligence system, and the summary report generated as a result of such analysis is shared with our Employer Client conducting the evaluation. In addition, if your camera is turned on during the assessment process, your visual data (photographs and/or video recordings) may be recorded and shared with the Employer.

Furthermore, during the examination process and throughout your use of the platform, your identity, contact, education, work experience, behavioral and visual/audio data, system usage data, test results, cookie data, and similar data may also be collected.

You may access detailed information regarding which of your personal data are processed and for what purposes in the Candidate Privacy Notice on the Processing of Personal Data.

1. Categories of Personal Data That May Be Processed

In line with your explicit consent, the following personal data may be processed:

Identity data: Your name, surname, parents’ names, mother’s maiden name, date and place of birth, gender, marital status, nationality, ID card serial and sequence number, Turkish ID number, etc.

Contact and location data: Your email address, address, mobile phone number, registered electronic mail (KEP) address, address number, etc.

Special categories of personal data: If you choose to share or if such data appear in screen recordings or images captured via your camera; your race, ethnic origin, political opinions, philosophical beliefs, religion, sect or other beliefs, clothing and attire, membership of associations, foundations or trade unions, health data, sexual life, criminal convictions and security measures, biometric and genetic data, health information (such as disability status, blood type, personal health data, medical devices or prostheses used, etc.), location data, etc.

Education data: Your educational status, certificates and diplomas, areas of expertise, foreign language skills, education and competencies, seminars and courses attended, computer skills, exam information.

Work experience and personnel data: Your total professional experience, employment status and title, work experience (company names, periods of employment, job descriptions), payroll data, disciplinary investigation records, onboarding documents, asset declaration information, CV details, performance evaluation reports, etc.

Legal transaction data: Information contained in correspondence with judicial authorities, information included in case files, etc.

Visual and audio data: Short-term screen recordings taken when exiting full-screen mode or switching tabs/applications during the assessment, as well as photographs and/or video recordings of candidates if the camera is active during the assessment process.

Behavioral data: Tab switches during the session, screen changes, return times to the assessment screen, test responses.

Report data: Written reports generated by the artificial intelligence system summarizing the candidate’s activities during the examination based on the analysis of screen recordings.

Customer transaction data: Call center records, invoice, promissory note and cheque information, counter receipts, order and request information, etc.

Transaction security data: Your IP address, website login-logout records, password and credential information, etc.

Marketing data: Purchase history, survey data, cookie records, data obtained through campaign activities, etc.

2. Purposes of Processing Your Personal Data

Your personal data will be processed for the following purposes:

• To ensure the execution, development, and management of the tests you participate in,

• To ensure the security of examination and assessment processes,

• To prevent cheating or fraud attempts,

• To analyze candidate behavior through an artificial intelligence system,

• To share the summary report generated as a result of such analysis with the employer,

• To ensure the security, accuracy, and technical improvement of the platform,

• To evaluate candidates and measure their suitability within recruitment processes,

• To monitor whether the platform is used appropriately and to optimize its functionality,

• To improve, test, and monitor the effectiveness of the platform and to identify or resolve issues,

• To monitor metrics such as total number of visitors, traffic, demographic trends, and trends in test results in anonymized and aggregated form,

• To provide information to authorized persons, institutions, and organizations,

• To ensure the follow-up and execution of legal affairs,

• To fulfill legal obligations arising from legislation,

• To protect our legitimate interests within the scope of improving and enhancing the platform through cookies.

3. Transfer of Your Personal Data

• Screen recordings are processed only by COENSIO and are not shared with Employer Clients.

• Written reports generated as a result of analysis may be shared with the employer/institution conducting the evaluation.

• Visual data (photographs and/or video recordings) obtained from candidates when the camera is active during the assessment process may be shared with the Employer.

• Your data may be shared, to the extent required by applicable legislation, with domestic and international service providers (such as hosting and artificial intelligence analysis services) engaged by COENSIO, only where necessary for the provision of services.

• In the event of any dispute, all your personal data, including special categories of personal data, may be transferred to our lawyers or legal advisors in order to exercise our right of defense.

4. Retention Period

• Screen recordings and visual data obtained via camera are retained for 6 months,

• Written reports generated as a result of analysis are retained for the period necessary to make them accessible to the employer,

• Other personal data are retained for periods ranging from 1 to 10 years, as detailed in the Privacy Notice on the Processing of Personal Data, for the purposes of conducting evaluation processes and fulfilling audit obligations,

and at the end of such periods, they are deleted, destroyed, or anonymized.

5. Your Explicit Consent Declaration

By clicking the checkbox stating “I consent to the processing of my data for the purposes specified in the Candidate Explicit Consent for the Processing of Personal Data”, you declare that you explicitly consent to:

• The recording and analysis by the artificial intelligence system of screen recordings obtained during the assessment process,

• The sharing of the summary report generated within this scope with the employer conducting the evaluation,

• The sharing with the employer of your visual data (photographs and/or video recordings) if your camera is active during the assessment process,

• The processing and transfer of your identity, contact, behavioral, visual/audio, special categories of personal data, and other personal data during your use of the platform for the purposes stated above,

• The transfer of your data by COENSIO to service providers located domestically and abroad.

6. Your Rights

As explained in detail in the Candidate Privacy Notice on the Processing of Personal Data; pursuant to Article 11 of the Personal Data Protection Law No. 6698 (“KVKK”) and the relevant provisions of the General Data Protection Regulation (“GDPR”), you have the right to learn whether your personal data are processed, to request information if they have been processed, to request correction or deletion of your personal data, to learn the third parties to whom your data have been transferred, to request compensation in case of damages arising from unlawful processing, and, where applicable under the GDPR, to request data portability or to object to processing activities.

You shall be deemed to have given your explicit consent by checking the box next to the statement: “I consent to the processing of my data for the purposes specified in the Explicit Consent Text on the Processing of Personal Data” on the “Screen Recording Setup” page presented to you before the examination.
